Manage Checkout Reminder Emails

Checkout reminder emails are enabled or disabled for the organization, and the team knows who receives an eligible reminder.

Choose the organization preference and understand when due-soon and overdue return reminders go out.

Before you start

Role needed: Owner or Admin. Ask an Owner if an action is unavailable.

Plan needed: This task is available on Free. Existing records may remain available after a downgrade; see the plan guide for details.

Open Notifications

Choose Notifications in the app navigation. Only Owners and Admins can manage organization reminder preferences.

Set Checkout Reminder Emails

Use the Checkout Reminder Emails control to enable or disable operational reminders for open checkouts. The preference applies across the organization.

Understand due-soon and overdue timing

A due-soon reminder is scheduled for the day before the return date. An overdue reminder is eligible after the return date passes. An open checkout needs a return due date to qualify.

Confirm the recipient

A linked assignee with an account email receives the reminder. If there is no linked assignee email, OrbitEquip emails organization Owners and Admins instead. A free-text person or job name is not an email recipient.

Troubleshooting

A reminder did not arrive.

Check: Confirm Checkout Reminder Emails are enabled, the assignment is still open, it has a due date, and the linked member has a valid account email.

Fix: If the assignee is recorded as free text, an Owner or Admin receives the fallback email. See the reminder troubleshooting guide.
