Physical Inventory Audits

Understand Physical Inventory Audits

You can use an audit to verify physical presence while preserving the recorded custody and location until someone explicitly reconciles a discrepancy.

Learn what an audit snapshots, how Location and Assignee scopes differ, and what its results mean.

Before you start

Plan needed: This task is available on Free. Existing records may remain available after a downgrade; see the plan guide for details.

1

Choose a scope

A Location Audit checks assets expected at a selected location. An Assignee Audit checks assets expected with a selected current holder.

Choose the audit scope and confirm the expected snapshot before starting.
2

Understand the fixed snapshot

When an audit starts, OrbitEquip snapshots the expected assets and their recorded location, holder, and status. Changes made later do not silently rewrite that audit's expected list.

Compare Expected, Found, Remaining, and Unexpected; scanning records presence without changing location or custody.
3

Read the physical results

A scanned expected asset becomes Found. A scanned asset outside the snapshot is Unexpected. Expected assets still unscanned when the audit is finished become Missing.

Review the fixed Found, Missing, and Unexpected results before choosing a follow-up.
4

Reconcile only after review

Completed findings remain fixed. An Owner or Admin can record an explicit follow-up such as Accept Current State or a supported move to the audited location.

Completed results remain fixed while each reconciliation decision is recorded separately.

Tips

Keep in mind

Troubleshooting

The expected list does not match a recent asset move.

Check: Check when the audit started and which Location or Assignee was selected.

Fix: Finish or review that fixed snapshot, reconcile discrepancies, and start a new audit after the records reflect the current scope.
