This Privacy Policy explains how OrbitEquip (“OrbitEquip”, “we”, “us”, or “our”) collects, uses, and protects your information when you use our website (orbitequip.com) and our tool and equipment management application (the “Service”).

By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree with this policy, please do not use the Service.

1. Who We Are

OrbitEquip is a tool and equipment management software service. The Service is operated from India. If you have any questions about this Privacy Policy or your data, you can contact us at support@orbitequip.com.

2. Information We Collect

Account information. When you create an account, we collect your name, email address, organization name, and password (stored in encrypted form).

Data you enter. We store the information you add to the Service, such as your tools, equipment, assets, locations, categories, check-in and check-out records, maintenance records, and any notes or attachments you upload.

Payment information. If you subscribe to a paid plan, payment is processed by a third-party payment provider. We do not store your full payment card details on our servers. Our payment provider processes your payment information subject to its own privacy policy.

Usage and analytics data. We may use analytics and product-improvement tools to understand how the website and Service are used. These tools may collect information such as your IP address, browser type, device information, pages visited, actions taken, and session activity. On the website, we use:

  • Google Tag Manager — to manage website tags. Depending on our current configuration, those tags may include measurement and product-improvement tools.
  • Google Analytics and Microsoft Clarity — these may be loaded through that tag manager when enabled in our current configuration, to measure usage and understand page interactions.

These tools may use cookies and similar technologies. See the “Cookies” section below.

Feedback and product-demo interactions. If you submit the optional exit survey, the selected reason, any details you enter, and the page path are sent to Web3Forms so we can receive the feedback. The survey does not ask for your name or email address, although Web3Forms may process technical request information. If you click to play the interactive product demo, the demo is loaded in an iframe hosted by Supademo. These providers process information under their own policies.

Live chat. When you use live chat on our website or in the app, we collect the messages you send and any name or email address you provide. Crisp may also process technical information such as your IP address, browser, and the page you are viewing. In the app, we also share your account email address and name with our chat provider, Crisp, so we can reply. Crisp may use cookies or local storage to keep the conversation.

3. How We Use Your Information

We use your information to:

  • Provide, operate, and maintain the Service;
  • Create and manage your account and organization;
  • Process transactions and manage subscriptions;
  • Send you important account and Service-related communications (such as email verification, password resets, and billing notices);
  • Improve and optimize the Service, including through analytics;
  • Respond to your questions and support requests;
  • Detect, prevent, and address technical issues, fraud, or misuse;
  • Comply with legal obligations.

4. Legal Basis for Processing

Where applicable law requires it, we process your personal data on the following bases: to perform our contract with you (to provide the Service), for our legitimate interests (such as improving and securing the Service), with your consent (for example, for certain cookies and analytics where required), and to comply with legal obligations.

5. Cookies and Tracking Technologies

We and our third-party analytics and live chat providers may use cookies and similar technologies to operate the Service and understand usage. Cookies are small files stored on your device. You can control or disable cookies through your browser settings, though some parts of the Service may not function properly without them. 6. How We Share Your Information

We do not sell your personal information. We share information only in the following circumstances:

  • Service providers. With third parties that help us operate the Service — such as our hosting provider, database and authentication provider, email delivery provider, payment processor, analytics providers, Web3Forms for optional feedback submissions, Crisp for live chat, and Supademo for the interactive demo — who process data on our behalf or at your direction.
  • Demo videos. Some pages show a demo video from our YouTube channel. YouTube’s player is not loaded until you choose to play the video. When you do, it loads from YouTube’s privacy-enhanced domain (youtube-nocookie.com), and YouTube processes the data it receives under its privacy policy at https://policies.google.com/privacy.
  • Legal requirements. When required by law, regulation, legal process, or governmental request.
  • Business transfers. In connection with a merger, acquisition, or sale of assets, in which case we will notify you of any change in ownership of your personal data.
  • With your consent. When you direct us to share it.

7. Data Isolation Between Organizations

The Service is multi-tenant. Data belonging to one organization is logically isolated so that users of one organization cannot access the data of another organization.

8. Data Retention

We retain your information for as long as your account is active or as needed to provide the Service. If you close your account, we will delete or anonymize your personal data within a reasonable period, except where we are required to retain it to comply with legal obligations, resolve disputes, or enforce our agreements.

9. Data Security

We take reasonable technical and organizational measures to protect your information, including encryption in transit and access controls. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

We operate from India and may process and store information on servers located in other countries. By using the Service, you understand that your information may be transferred to and processed in countries other than your own, which may have different data-protection laws.
