Build a Preventive Maintenance Routine

Preventive work has a responsible person, a clear description, and a recurring due date the team can review.

Before you start

Role needed: Owner or Admin. Ask an Owner if an action is unavailable.

Plan needed: An active Starter plan or higher is required for this task. Existing records may remain available after a downgrade; see the plan guide for details.

Choose work that is genuinely recurring

Start with a documented inspection or service cadence the organization already follows. Use one-time maintenance for a single repair or service.

The schedule form is unsaved. One-time maintenance is available on Free; creating a new recurring schedule requires active Starter or higher.

Create the schedule on the right assets

Open each asset that needs the work, enter a concise work description and first due date, and enable Make this schedule recurring. Choose a positive repeat interval and unit.

Assign responsibility outside the schedule

Use team roles and your normal crew handoff to decide who checks the due work. Maintenance reminder emails go to organization Owners and Admins when enabled on an active Starter-or-higher plan.

Review and close each occurrence

Review due and overdue work on Dashboard, the asset, or Maintenance Due / Overdue. Move the occurrence through In Progress to Resolved; confirm the next due date after resolution.
